RISKS
Adventure Mindset Experiences take place in the outdoors, which can include hill and mountain environments. There are risks involved in any outdoor activity on rocky and uneven ground, and exposure to changeable or even adverse weather conditions. By booking an Adventure Mindset Experience with CognitvExplorer, you are accepting these risks and agree to submit a Medical Declaration Form and an Informed Consent Form after booking (this will be supplied to you by email).
Risk assessments are conducted to ensure safety and good practice when leading individuals and groups in the outdoors.
To finalise your booking you must complete the Medical Declaration and Informed Consent forms.
BOOKING AND CANCELLATION POLICY
At the time of booking a 50% deposit is required for the agreed cost. The remainder is payable 24 hrs before the date of the activities. In the event of alteration of details agreed at the time of booking, the agreed on fee will still be payable in full. This includes price based on party size: if you book on the basis of a number of individuals taking part and later one or more individuals are unable to attend, the price will remain as agreed. Additional individuals can still be included at an increased price.
Cancellation by client (You)
All cancellations must be in writing or by email. You will be charged the following cancellation fees:

Between 2 to 4 weeks notice – 75% refund

2 weeks notice or more – 50% refund

Less than 2-week notice – no refund

Alternatively, you can transfer your booking to an alternative date within the same calendar year if available. One rescheduled date is permissable in line with booking conditions. Further rescheduling will forfeit monies paid.
Cancellation by CognitvExplorer (Us):
Whilst every attempt is made to ensure that planned events take place as scheduled, CognitvExplorer will notify you of cancellation as soon as possible if it is necessary due to dangerous and/or unsuitable conditions for the event activity. In the event of cancellation you will be offered the choice of a full refund or a place on an alternative event/date. CognitvExplorer can not be held liable for any accommodation / travelling costs due to cancellation.
EVENT ALTERATIONS
While every reasonable effort will be made to run events as planned, CognitvExplorer reserves the right to make changes to the event activities due to weather conditions, participant fitness or as a result of risk assessments on the day. All participants should be aware that minor alterations to routes or timings may sometimes be necessary. No refund will be issued if you decide not to participate due to poor weather conditions.
RIGHT OF REFUSAL
CognitvExplorer reserves the right to refuse/bar a person from participating in an event if the participant is not properly dressed or equipped to enjoy the event safely. CognitvExplorer will also refuse participation to those who may be under the influence of alcohol or drugs, or are exhibiting anti-social behaviour towards other participants or the event leader. This right of refusal also includes participants who fail to disclose a medical condition or disability when booking, that may restrict their participation.
CognitvExplorer is not responsible for inconvenience or costs incurred as a result.
COMPLAINTS PROCEDURE
If you are not satisfied with your experience with CognitvExplorer, please let the us know as soon as possible on the day of the event, or contact CognitvExplorer using the contact form on this website. Please submit any complaints within 28 days after the event.
